Changing it later
Go back to Settings, Accounts, Signatures and use the Edit signature button next to the one you want to change, then Save.
How to add an email signature in Outlook on the web
This covers Outlook in a browser, whether that is Outlook.com or the work version at outlook.office.com. Microsoft moved the setting: it is under Accounts now, not under Mail, so most of the older instructions on the web point at a screen that no longer exists.
Do not have a signature yet?
Make one first. The generator is free, needs no account, and gives you something to paste before you open your settings.
Add the signature
- Copy your signature from the generator with the Copy signature button.Copy signature puts the formatted version on your clipboard, which is the one you want. Copy HTML is for pasting into a system that asks for source code.
- Select Settings at the top of the page.
- Select Accounts, then Signatures.If you are following an older guide that sends you to Mail, then Compose and reply, that is the previous location. Accounts is the current one.
- If you have added more than one account, select the account the signature is for.
- Select Add signature and give it a distinct name.
- Click into the editing box below the name and paste the signature.
- Use the checkboxes at the bottom to choose whether to apply it to new messages and to replies and forwards.Leave both blank if you would rather pick the signature yourself when you write. Ticking neither is why a saved signature never seems to appear.
- Select Save.
Things worth knowing
Adding it to a single message
In a new message or reply, on the Message tab select Signature, then choose the signature you want.
The desktop app keeps its own signature
A signature set here does not reach the Outlook desktop app, and Microsoft says so: you have to create it in both products. If you use both, paste it twice.
Images have to stay publicly reachable
Your logo and photo are fetched from the address they live at by everyone you email. If the page hosting them goes away, the images break in every signature already sent.
